Hey folks,

Brand new to freelance instruction and I goofed up already. I had an email typed to TC months ago to notify the minister of flight training but apparently failed to send it. I only did a small portion of this students flight training while the majority (including flight test recommend) was done by a different instructor. The student just saw an AP to get their CPL signed off and that went well but it prompted me to recheck my records and I realized I didn't actually send the notification.

What's the move here? Send the email back dated? Call TC for advice? Send the email and explain the situation?

I'd like to avoid a holdup at the final sign off stage with TC but I also don't want to open a can of worms if it's not necessary.

Anyone end up in this situation before? If so, how did you get it sorted out?

What has always worked for me, although I'm out of the game these days, is with TC, you get personal. Find the guy who works your area and pay him a visit. Anyone of them will help you out if you go about it properly. Phone first is good. Look at the Gov't offices in your region. Give him a heads up. It is their job and if they have any pride in it, they will fix your issue.

I think I'd just send the email now and wouldn't worry about it.

The instructor shall be required to notify the minister if the trainee is: (iii) using an aircraft that has been obtained from a person who is at arm’s length from the flight instructor, and the training is other than toward obtaining a pilot permit — recreational or a private pilot licence.

Maybe this is a good place to remind freelancers that you're still responsible for a lot of the things that FTU's do. Things like a Daily Flight Record, PTR, proper supervision, etc. are all still required of freelancers.

Also, you don't need to notify the minister if the person you are training owns the training aircraft or owns a business that owns it or is owned by a family member.

If you are using an aircraft that the trainee doesn't own and it is at arms length to the instructor then you cannot instruct towards PPL or RPP, but anything else and you are supposed to notify the minister.

Basically, if they own the plane, no notice required.

If they are buying block time, give notice.
